QuickBooks Tip - Sales Analysis

A frequently asked question is "Why do the sales on my sales report not equal the sales on my income statement for the same period?"

To understand why this occurs you must understand what the sales report is telling you. The sales report adds up all your sales items for the given period requested and reports that as your total sales. In essence it adds up all your invoices for the period you asked for.

When all your invoices are actually sales you won’t have a problem reconciling it to your income statement. However, if you have items for reimbursable expenses and you create invoices for those items your sales report will incorrectly include these reimbursements in the sales figures. In these cases, the sales report and the income statement won’t match. To correct this problem, you must create a sales report that filters for those items that actually affect sales. To do this, follow these steps:

    1. Create the sales report you want by selecting Reports, then Sales. Be sure to specify the date range you need before moving on.
    2. Select "Modify report" then select the "Filters tab."
    3. Then, in the Filters box, choose Items.
    4. Now click the drop down arrow in the Item box then scroll up and choose "Selected items."
    5. You should now see a separate window appear. Mark those items that affect sales only.
    6. Now select ok to create the modified report.
    7. Select "Memorize report" so you can quickly regenerate the report in the future.

Backup

It is important to that you continue to backup your QuickBooks data on a regular basis. The unexpected loss of files because of a virus, hardware failure, or mistake can be devastating.
