Duplicates:

When using the duplicates command, all the database key fields that you will be using in the command need to be sorted first.

Printing:

1. When ready to print your report - select from the top menu bar (not the icon) - file, print, publish to PDF this will print the report to a PDF file (automatically opening Acrobat) so you can then print from Acrobat. This requires Adobe Acrobat Reader version 7 or later. If you don't have version 7, you can download for free from Adobe.

   On some screens (for example, field statistics), the above method can't be used because the "publish to PDF" is whited-out. In these cases, select save (the disk icon) from the tool bar within the smaller window, then select "export" and it will print to a PDF file (in some cases more than one file). Again, you will need Adobe Reader 7. This method also creates a permanent electronic record for workpaper files, etc. and for field work is often preferred today versus a hard copy. For class purposes, of course, you will need the hard copies

2. To obtain a print (picture) of what is shown on the screen at any time, hold down shift and press the "print screen" key. Go to Word, change to landscape and narrow the margins, then paste the screen print.

3. If you have a windows computer (98 through XP) and the above does not work, you can download and install the free Primo PDF printer from Free PDF Converter Just set your default printer to the PrimoPDF and any "print" command will print through it to the designated PDF file.

Importing to Word from Excel:

If you have problems importing data lists (numeric fields) to a Word Mail Merge, see instructions at Excel data does not retain its formatting in mail merge operations in Word Method 1 is recommended for this purpose so you don't lose formatting of dollar amounts.
